What does HatchLeads do?

HatchLeads builds AI-assisted workflows for property managers and leasing teams. The first focus is missed lead recovery: responding faster, capturing lead details, sending tour links, and alerting the team when a renter is ready to move.

Does HatchLeads replace leasing staff?

No. HatchLeads is built to support the leasing team. It can handle common intake and follow-up tasks, then hand off sensitive or uncertain questions to a person.

Can it work with my current tools?

Usually, yes. HatchLeads can start with simple tools like website forms, email, Google Sheets, calendars, and n8n workflows, then add deeper integrations later when the process is proven.

Does it make leasing decisions?

No. HatchLeads should not approve applicants, deny applicants, steer renters, or make discriminatory housing decisions. Those decisions stay with the property manager and their approved process.

Can we start small?

Yes. The recommended beta starts with one workflow, usually missed call text-back or a 24/7 leasing assistant for new leads.

Can HatchLeads connect to my website?

Yes. The simplest setup is a website form that sends lead details into an n8n webhook. More advanced setups can connect to calendars, email, sheets, or CRMs.

Do I need a big CRM first?

No. Many early setups can use Google Sheets or n8n Data Tables first, then connect a CRM later.

Can HatchLeads send text messages?

Yes, but texting workflows need consent-aware setup, opt-out handling, and client approval before launch.

What should the AI never say?

It should not promise approval, guarantee availability, make legal statements, steer renters, or answer questions about protected classes.

How long does setup take?

A simple workflow like missed call text-back or a 24/7 leasing assistant usually takes 1 to 3 days to build and test. A more custom setup with SMS, email sequences, or calendar integration usually takes 1 to 2 weeks. The timeline depends on how many tools are involved and how much testing is needed before launch.

What happens after I book a call?

The call takes 15 minutes. Donovan asks about your biggest lead pain, your current tools, and how many units you manage. At the end you get one clear workflow recommendation and an exact price. There is no pitch, no pressure, and no commitment required. If it is not a good fit, he will tell you.

I manage 3 units. Is this for me?

Yes, but keep it simple. With a small portfolio you do not need a full automation system. A missed-call text-back or a basic lead follow-up sequence is usually enough to stop losing leads. Pricing is flexible for smaller operators.

We already use AppFolio, Buildium, or Yardi. Can HatchLeads still help?

Yes. HatchLeads does not replace your property management software. It works alongside it. The workflows catch leads at the edges: after-hours calls, website contact forms, listing site messages. No changes needed to your current software to get started.

How is HatchLeads different from answering services or live chat?

Answering services charge $1 to $5 per call and do not capture structured lead data or score urgency. HatchLeads builds a workflow around your approved property information, your handoff rules, and your team process. It runs 24/7 without breaks or overtime.

How is this different from AI tools built into AppFolio or Buildium?

The built-in AI tools in AppFolio and Buildium handle what is already inside their platform. They do not catch leads from your website, a missed phone call, a Zillow inquiry, or a Facebook message. HatchLeads fills those gaps.

What tools does HatchLeads connect with?

Common connections: website contact forms, Google Sheets, Gmail, n8n workflows, Cal.com and Google Calendar, Twilio for SMS, and most standard email providers. For AppFolio, Buildium, and Yardi, HatchLeads connects at the edges rather than inside the platform.

Do you guarantee more tenants or higher occupancy?

No. HatchLeads helps you respond faster and follow up more consistently, but whether leads become tenants depends on your pricing, your units, and your market. No automation service can guarantee that.
